Examples of projects in this area
- HR policies and procedures
-
Need - The client had a set of HR policies and procedures, some developed in- house and some provided by a multinational consultant.
- Content, style, language and other elements were inconsistent; much of the information was duplicated, and the documents were hard to read and understand. In addition, many of the regulations and policy statements had not been verified.
Solution - We reviewed the documents, checked references, recommended changes, prepared a style sheet and outline, and submitted them for approval.
- We recommended breaking the document into separate word files, to make it easier to update.
- Then we reorganised and edited the text, and redrew flowcharts and diagrams.
Benefits - The client’s original intent was preserved, but the policies and procedures were easier to read and redundancy was removed.
- Facts, policies, entitlements and regulations were checked and clarified.
- The document was produced in the client’s corporate style, and was published electronically, so it could be searched by employees.
- The client’s employees are able to update the policies easily, as and when required.
- Operations procedures
-
Need - A client in the processing industry had over 10,000 pages of operating procedures, prepared by engineers. They were in different formats and MS Word versions, and the language, numbering and other content were inconsistent.
- The client’s ISO representative said that all the procedures had to be formatted and presented in the same way. In addition, the client’s content management system required that the procedures be migrated to one MS Word style sheet.
Solution We created a simple style sheet and reformatted the documents. Site visits were minimal; we completed the job in the time required, in our offices.
Benefits - A single style sheet is used for all documents.
- Deliverables suit ISO requirements and the content management system.
- It is easy for engineers to use the style sheet when updating the procedures.
- QHSE policies and procedures
-
Need - A very large semi-government organisation had policies and procedures in many formats, styles and structures.
- To submit them to the CEO and board, they needed to quality check the documents, make them consistent, correct errors and typos, and reformat them.
- They needed about 600 pages of text and flowcharts done within a few weeks.
Solution We received the documents, agreed a format and structure, then went to work. In one month we turned around several hundred pages’ worth of policies, procedures, work instructions and forms. Benefits - Single style and format.
- Matched corporate brand and style guide.
- Single style sheet and template for each document.
- Spelling, grammar checked and corrected.
- Information restructured according to approved standards (ISO 9001:2008, ISO 14001, OHSAS 18001).
- Employee handbook
-
Need - A large, diversified trading company in Dubai was planning to recruit several thousand new employees over the next two years, in 13 countries.
- HR wanted a handbook that could be used for on-boarding, which would ensure that everyone had the same information about the company.
- It had to be brief and simple yet comprehensive.
Solution We took information that the company already had, supplied some creative concepts for colour scheme, layout and binding, and presented an MS Word file with creative work in *.ai. Benefits - The company made good use of information that it already had.
- We beat the deadline for finishing the project.
- HR personnel now have a single source for all company information and referrals, when conducting on-boarding courses.
